Privacy & Your Data

Straight talk about how we handle your information

Look, We Get It - Privacy Matters

Last updated: November 2024

After working with hundreds of clients over the years, we've learned that trust isn't just about designing great buildings - it's about respecting your privacy too. So here's the deal with how we handle your information at Ultra Onvintharos Architecture.

We're not gonna bombard you with legal jargon. This page explains what we collect, why we need it, and what we do with it. Pretty straightforward stuff.

What Information We Actually Collect

When you reach out to us or work with us on a project, we'll typically gather:

  • Your name and contact details (email, phone number)
  • Project location and property information
  • Design preferences and project requirements
  • Budget ranges and timeline expectations
  • Communication records (emails, meeting notes)

We're collecting this stuff because, well, we can't design your dream space without knowing what you're after. Makes sense, right?

How We Use Your Info

Here's where your information goes and why:

Project Work

Creating proposals, developing designs, and managing your architectural project from concept to completion.

Communication

Keeping you in the loop about project updates, answering questions, and scheduling site visits.

Legal Stuff

Contracts, permits, building codes - all the paperwork that keeps projects legit and above board.

Improvement

Learning what works and what doesn't so we can get better at what we do.

Who Sees Your Information?

We're pretty protective of client data. Your info stays with us unless there's a good reason to share it:

  • Project Partners: Sometimes we work with structural engineers, contractors, or consultants. They'll only get what they need to do their part.
  • Legal Requirements: If the law says we gotta share something (like for permits or regulations), we will. Can't really avoid that one.
  • Service Providers: Cloud storage, email services - the usual tech stuff that helps us run the business efficiently.
  • Portfolio Use: We love showing off our work, but we'll always ask permission before featuring your project publicly.

Your Rights (Yeah, You've Got 'Em)

Under Canadian privacy laws, you can:

Access your data anytime
Correct any mistakes
Delete your information
Object to certain uses

Just shoot us an email and we'll sort it out. Usually takes a few days, depending on what you need.

Cookies & Website Tracking

Our website uses cookies - those little files that remember you visited. Nothing creepy, mostly just:

  • Keeping the site running smoothly
  • Understanding which pages people actually look at
  • Making sure contact forms work properly

You can turn cookies off in your browser if you want. Might make the site a bit clunky, but that's totally your call.

How Long We Keep Your Data

We're not hoarders, but we do need to keep records for a while:

  • Active projects: Everything stays on file while we're working together
  • Completed projects: Seven years (it's an industry standard thing for liability reasons)
  • Inquiries that didn't go anywhere: Usually about a year, then we clear 'em out

After that? Gone. We don't keep stuff longer than we need to.

Security Measures

We take reasonable precautions to protect your data - encrypted communications, secure servers, password-protected systems. That said, no system's 100% bulletproof. We do our best, but can't guarantee absolute security. Just being honest here.

Changes to This Policy

We might update this page from time to time as laws change or our practices evolve. When we do, we'll post the new version here with an updated date. Major changes? We'll shoot you an email if we've got your contact info.
